With InStyle Property full management service, should any applicant fail their initial reference check, you will not be charged extra for new applicants to be referenced before the start of tenancy. Deposit collection, registration with a Government Deposit Protection Scheme and serving of deposit admin to ensure legal compliance.

Many agents charge extra for this service. It is a legal requirement for all tenancy deposits to be registered with a Government Deposit Protection Scheme and for numerous deposit administration documents to be given to tenants within a certain time frame of collecting the deposit. We take this stressful work away from you and ensure you are legally compliant by registering the deposit correctly and quickly for you. All deposit related documents are given to all relevant tenants, guarantors and third parties as necessary and we will gather evidence, usually by digital email signature, that all appropriate persons have received the necessary documents. It is hugely important you are fully protected in relation to deposit legislation. Tenants will usually pay a deposit equivalent to one month`s rent before the start of the tenancy and we will usually register this with the DPS Custodial Scheme.

Provision and set up of tenancy documents.

We will prepare the tenancy agreement and obtain a signature from the tenant(s). Where appropriate, we will also prepare a deed of guarantee and obtain a signature from any guarantor(s). Tenants must be given additional tenancy related docs at the start of the tenancy, such as a gas safety certificate, a copy of the electrical safety test report, the most recent government how to rent guide, information on how to report repairs and a valid EPC for the property. We will serve all necessary tenancy related docs to the tenants and gather evidence, usually by digital email signature, that all tenants have received such documents. Without evidence that the necessary documents have been given to tenants at the start of the tenancy, landlords can find themselves in a position which means they are unable to serve a valid notice to evict tenants. Consequently, it is hugely important this work is done correct for you. Note as landlord, you are responsible for the cost of any gas and/or electrical certificates and/or other assessments, however we can assist where required.

Photo inventories included with each new tenancy.

Photos and detailed reports are completed to show the general condition of the property. Alongside the inventory, each photo used in the report is also filed online using cloud storage, allowing you access to each individual photo if needed in relation to a specific issue/dispute. Please ask to see an example of how inventory pictures are dated and stored individually for you to keep. Other than the tenancy agreement, the inventory is probably the most important document for any tenancy. If you can’t agree deposit deductions with the tenant and you enter a Dispute Resolution process, deposit adjudicators will use evidence such as the inventory to compare the property condition at the beginning and end of the tenancy. A robust, thorough inventory can help protect landlords from deposit disputes at the end of a tenancy, so it’s important that the time is taken to complete it.

Tenant check in and check out service.

With a trusted agent present at the property when the tenant first moves in, we help ensure you are legally compliant at the start of the tenancy as well as assisting your new tenant with any help they may need on the move in day, to ensure your tenancy starts smoothly and stress free. As per legal requirements, we will audio test all smoke and CO alarms fitted at the property and gather evidence to confirm these tests were completed. Frustratingly, the local authority can fine landlords where these checks have not been carried out on the tenancy start date as it is now a legal requirement. We will record key handover with photographs to show which keys were given to tenants, helping ensure the correct keys are returned and accounted for at the end of the tenancy.

Utility switch and council tax management.

Many landlords tell us that this single process alone is one of the most stressful parts of letting a property. At both the start and the end of all tenancies during our agency, we will record all relevant utility meter readings at the property and inform the suppliers of these meter readings together with details of the change in occupancy at the property. Where possible, we collect dated photographs of meter readings and provide you with copies whilst also keeping records on our own cloud storage files for future reference. We will also inform the local authority of the new occupancy in relation to council tax at both the start and at the end of all tenancy agreements, saving you hours of admin, research and telephone calls. At the end of the tenancy we will make arrangements to collect the keys for the property and make efforts to end the tenancy in writing for you. Ending a tenancy correctly is critical and it is crucial that your interests are protected in the best possible way to help avoid void periods moving forward.

Periodic property inspections.

Throughout a tenancy, it is hugely important to check the tenant is sticking to the terms of the tenancy agreement and that your property is being treated with respect by the tenant. We will make arrangements to visit the property and carry out an internal inspection once approx. every 6 months of tenancy. Each visit also gives the tenant the opportunity to raise any issues of concerns with us and/or inform us of any repairs required. We will provide you with a report for each periodic property inspection completed.

We handle your maintenance issues.

Where repairs/maintenance at the property is likely to cost up to £300 including VAT during the tenancy, we will arrange and manage the issue, saving you time and stress each time an issue needs attention. Most landlord clients authorise us to arrange maintenance works at the property costing up to £300 including VAT per incidence, helping ensure low costing works required are dealt with promptly by us on your behalf, avoiding disruption to the tenancy, further potential damage costs and usually resulting in much less work and costs for you as the landlord. If you have specific requests related to how we handle maintenance issues for you, simply let us know and we will do our best to accommodate your individual requirements. If you have preferred contractors to use for maintenance, that’s fine, simply provide us with details by email. We will hold a maintenance float of £300 on account for you, to be used when funds are needed to pay contractors at times before rent is received. These funds are held from rent collected, usually collected in the first month or two of tenancy, so there is no need for you to pay this float amount upfront. When money is spent from the float, funds are usually topped up from the next rent collected. We always provide tenants with agent contact details relating to maintenance and tenancy enquiries so all tenants know exactly how and where to report any issues they may have throughout the tenancy. The document is signed and dated by all tenants to confirm receipt at the start of tenancy. Where we carry out a periodic property inspection, any maintenance issue brought to our attention during the inspection will always be presented to you for approval before any such repairs are completed, regardless of the authority limit agreed. We can obtain estimates for each maintenance issue and present these to you with no obligation for you to proceed with any such quote, helping you find the best possible price, quality of work and service for each job required.

We completely understand landlords don’t have time to be chasing contractors to find the best quote, making arrangements with tenants for any tenancy issues, re-arranging works when appointments are cancelled and most importantly, keeping detailed records of important tenancy events throughout the duration of the tenancy. It’s hugely important to keep records of significant events at the property during tenancy, including for example any repair work which is carried out, damage to any part of the property, missed rent payments and details of any arrangements agreed with tenants that may occur.
